Information for LU Staff

The purpose of having Course Reps is to ensure that Lincoln University promotes an effective, high-quality teaching and learning environment by providing a teaching—learning partnership between staff and students.

 

Please note: We are always updating the Course Rep System, so please take the time to read this even if you are familiar with the process.

 

The following outlines the whole process to answer any questions you may have, and to highlight what the expectations are.

 

What Are Your Responsibilities? (Relevant for both in person and online courses)

 

Overview

  1. At the first lecture, play our amazing recruitment video, show this slide here, and choose the Course Rep. Online courses may also use part of your first Zoom discussion to share this information.

  2. Email the student’s name, student ID and email address to coursereps@lusa.org.nz by Friday 24th July.

  3. Assign the student to the role ‘Mākai Tauira | Course Rep’ on your course Akoraka | Learn page (see instructions attached).

  4. Check in with your Course Rep at least three times during the semester (we suggest week 4, week 8 and week 11)

  5. If you are unable to elect a Course Rep, please email coursereps@lusa.org.nz for support.

  6. If you have less than seven students in your course / are unable to elect a Course Rep, please add the details below on the Course Rep block on your course Akoraka | Learn page.​​

At the first lecture:

  • At the first lecture, the video (I have placed the link below) is played to the class and the choosing of the Course Rep starts.

  • We also provide a slide, especially prepared for you to use alongside the video. We have a separate slide available for the online courses. Both versions are attached, so choose the one that applies to your course.

  • Watch the video here. If you don’t have internet access during your lecture, you can download the video to your files ahead of time and play it offline here.

 

After the first lecture:

  • Once the Rep (or Reps, you can have more than one if your class is large) has been elected, you then email the Name, Student ID and Student Email address of the Rep(s) to coursereps@lusa.org.nz. I will then enrol them into the Course Rep Training Course on Learn and they will then have access to the compulsory online training video and other resources.

  • There is a Course contacts block in the closable drawer on the right of your course page. This is where the name of your Mākai Tauira | Course Rep will appear once you designate them in the participants list.

  • For details on how to assign your course page, please see the instructions attached. Reps will be sent details on how to update their Akoraka | Learn profile, but please encourage them to do so.

 

During the semester:

  • As per the University policy, Examiners are expected to meet with their Course Reps at least three times per semester to discuss the teaching and learning experience and receive constructive feedback.

  • Your Course Reps will contact you to arrange these meetings at the beginning of the Semester. If they do not, please reach out to them. We suggest having these meetings in week 4, week 8 and week 11, but arrange them to suit you, your rep and your course.

  • I arrange two feedback meetings per semester (11 Aug and 6 October) with the Dean and the Course Reps, where we discuss both positive feedback and any challenges they may be experiencing.

 

University Policy

  • Read the University’s Policy for Student Representation so you can familiarise yourself with the new policy and the recent changes. There are guidelines in the ‘Selection Process’ to assist you with choosing a Course Rep. This is a University Policy that LUSA supports and assists with.

  • Anita is happy to share the Student Rep Training Video with you. We encourage all examiners and lecturers to watch the student reps training video, so we are all familiar with the expectations and procedures of the rep system. Watch the video here. It is only five minutes long so will not take up much of your time.
